Stallholder information

Terms & Conditions

Last updated: 19 October 2026

These Terms & Conditions apply to all stallholders booking a stall at a market organised by The Weekend Scene. By submitting a booking and completing payment, you agree to these terms. Please read them alongside your booking confirmation and the event information provided before booking.

1. Australian Consumer Law rights

Nothing in these Terms & Conditions excludes, restricts or modifies any rights or remedies that cannot legally be excluded under the Australian Consumer Law or other applicable legislation.

For more information about consumer rights and contract terms, visit the Australian Competition and Consumer Commission (ACCC).

2. Bookings and payment

All stall bookings must be made through The Weekend Scene website and paid in full through the available payment method before the event.

Stall fees vary according to the market, stall size and any selected position or power options. The total amount payable, including applicable fees, will be displayed before you complete your booking.

All prices are listed in Australian Dollars (AUD).

A booking is confirmed once payment has been received and you have received a booking confirmation email. You are responsible for checking your booking details and ensuring they are correct.

Any approved transfer, upgrade or additional service must be paid for before the change is confirmed.

3. Exclusivity and Similar Businesses

The Weekend Scene aims to create a diverse and engaging market by curating its stallholder mix across different product and business categories. We may consider the number and variety of businesses within a category when reviewing stallholder applications; however, we do not guarantee a specific limit on the number of similar businesses attending any market.

Multiple stallholders may offer similar, comparable, or competing products and services at the same event. Acceptance of a booking and allocation of a stall do not guarantee exclusivity or protection from competition.

Stallholders acknowledge that other businesses may operate within the same category or offer similar products and services. By completing a booking and payment, stallholders accept that The Weekend Scene does not guarantee that they will be the sole provider of a particular product or service at the market.

4. Stallholder cancellations and refunds

If you need to cancel your booking, email bookings@theweekendscene.com.au with your booking reference.

Cancellation requests must be received at least 14 days before the scheduled market date to be considered for a credit towards a future The Weekend Scene market.

For eligible cancellations received at least 14 days before the event, a credit may be offered at The Weekend Scene's discretion. We will confirm the outcome and any credit amount in writing.

Cancellation requests received less than 14 days before the event are not eligible for a change-of-mind refund or credit under our standard policy. This timeframe allows us to finalise event arrangements and offer the space to another stallholder.

No-show bookings and early pack-downs are not eligible for a change-of-mind refund or credit. Stallholders are expected to arrive during the scheduled bump-in period and remain for the full trading period.

If you arrive late, cannot attend, or need to leave early because of an emergency or safety concern, contact the event team as soon as possible.

5. Market cancellations by The Weekend Scene

If The Weekend Scene cancels a market, we will notify confirmed stallholders as soon as reasonably possible and explain the available options.

Where appropriate, we may offer a credit towards a future The Weekend Scene market. If a refund or another remedy is required in the circumstances, we will provide the applicable remedy.

If a market is cancelled, stallholders will be advised of the next steps and any applicable credit or refund arrangements in writing.

6. Credit balances

Credits may be issued for eligible stallholder cancellations or market cancellations, as outlined in these terms.

The credit amount and issue date will be confirmed in writing. Credits issued under these terms do not expire.

Credits may only be used by the same business that made the original booking. They cannot be sold or transferred to another business or person.

To use a credit, contact bookings@theweekendscene.com.au and provide your original booking reference. All future bookings remain subject to availability, market suitability and the applicable booking terms.

If a future booking costs more than the available credit, you must pay the difference before the booking is confirmed. Any unused credit balance remains available to the same business for a later booking.

Credits are not redeemable for cash except where a refund or other remedy is required in the circumstances.

7. Booking transfers

Stallholders may request to transfer an existing booking between eligible The Weekend Scene markets, subject to availability and the requirements of the destination market.

Transfer requests must be submitted at least 14 days before the original event date. Requests received after this deadline will not be accepted under the standard transfer policy.

Transfers are not automatic and must be approved by The Weekend Scene. Approval depends on available space, the suitability of the stallholder's products for the destination market, and any relevant event requirements.

If the new booking costs more than the original booking, the price difference must be paid before the transfer is confirmed.

If the new booking costs less, the difference will not normally be refunded or credited.

To request a transfer, please visit our Booking Transfer page.

8. Booking upgrades and add-ons

Upgrades and add-ons, including available stall positions and power options, are subject to availability and suitability for the event.

Upgrade requests may be submitted at any time, provided the requested option is still available in the booking system and there is sufficient time to arrange the change before the market.

Any additional cost must be paid before the upgrade is processed.

After submitting an upgrade request, please email bookings@theweekendscene.com.au to let us know. This allows our team to review your request and confirm the details with you.

To request an upgrade, please visit our Booking Upgrades page.

9. Public liability insurance

All stallholders must hold valid public liability insurance covering their business activities for the full event date.

A current certificate of currency must be uploaded during the booking process or submitted before the event through our Insurance Upload page.

The certificate must identify the insured business and show the relevant cover and period of insurance. Stallholders are responsible for ensuring their policy remains valid for the event.

If insurance documentation is missing, incomplete or invalid, The Weekend Scene may request corrected documentation before the event. Stallholders who cannot meet the insurance requirement will not be permitted to participate.

If a booking must be cancelled because the insurance requirement has not been met, the standard cancellation policy will apply, taking into account the circumstances and any applicable statutory rights.

10. Power and electrical equipment

Power is available at selected markets for an additional fee. Availability must be confirmed before the event, and power should not be assumed to be included in a standard stall booking.

Stallholders must disclose the appliances they intend to use so the event team can assess power capacity and suitability.

Power is shared infrastructure, and high-powered appliances may not be supported. Please contact The Weekend Scene before booking if you are unsure whether your equipment can be accommodated.

Stallholders must bring suitable extension leads and ensure all electrical equipment is safe and compliant with applicable requirements and venue rules. Testing and tagging must be completed where required.

Unsafe or unauthorised equipment must not be used. The Weekend Scene may restrict equipment that presents a safety risk or exceeds available capacity.

11. Bump-in, bump-out and site rules

Bump-in, trading and bump-out times will be provided in the event information sent to confirmed stallholders.

Stallholders must arrive within the allocated bump-in period, be ready to trade by the advertised opening time and remain until the official market closing time.

Packing down before the official close is not permitted unless authorised by the event team for safety or another reasonable operational reason.

Stallholders must keep their allocated area clean, remove their rubbish and take all stock, fixtures and equipment with them at bump-out.

Stallholders must bring their own tables and other required stall equipment unless their booking expressly states otherwise.

All setups must be secure, remain within the allocated space and keep access routes and emergency exits clear. Stallholders must follow reasonable safety and operational directions from The Weekend Scene staff and venue management.

12. Approved products, permits and food safety

Stallholders may sell only products and services approved for their booking. Products must be legal, safe and accurately represented.

Approval must be obtained before materially changing the products or services offered at a stall.

Each stallholder is responsible for obtaining and maintaining any licences, permits, registrations, certificates and approvals required for their business and products.

Food and beverage vendors must comply with applicable food safety requirements and obtain any required council approvals, food handling credentials and permits. Relevant allergen information must be provided where required.

Market-specific restrictions also apply. Food vendors must confirm that their setup and proposed activities are suitable for their selected market before booking.

The Weekend Scene may require unsafe, unlawful or unapproved products to be removed from a stall. Where practical, the stallholder will be informed of the concern and given an opportunity to address it. Serious or unresolved safety and compliance issues may result in participation being refused or a booking being cancelled.

13. Stall allocation and position preferences

Stall position preferences are requests rather than guarantees. The Weekend Scene will make reasonable efforts to accommodate preferences, but final allocations depend on the event layout, operational requirements and availability.

If a separately paid position add-on cannot be provided, The Weekend Scene will contact the stallholder to discuss a suitable alternative or refund the fee paid for that add-on.

Stall dimensions are approximate and may vary slightly according to the venue and event layout. Stallholders should review the site plan or allocation information provided before the market.

Stallholders must remain within their allocated area and must not move or exchange positions without approval.

14. Photography and promotional use

The Weekend Scene may photograph or film markets, stalls, products and general event activities for promotional, editorial and business purposes.

If you have concerns about being identifiable in promotional photography or footage, please contact The Weekend Scene in writing before the event so that reasonable arrangements can be discussed.

Stallholders must ensure they have any necessary permissions for photographs, videos, logos or other materials they provide to The Weekend Scene for promotional use.

Photography and filming will be conducted in accordance with applicable legal requirements.

15. Stock, equipment and liability

Stallholders are responsible for their own stock, equipment, stall setup and business activities, including the conduct of their staff and representatives.

Stallholders should take reasonable precautions to secure their belongings and protect their stock and equipment. The Weekend Scene does not provide individual stall storage or security unless expressly agreed in writing.

To the extent permitted by law, The Weekend Scene is not responsible for loss of or damage to stallholder property where that loss or damage is not caused by The Weekend Scene's breach of contract, negligence or other unlawful conduct.

Nothing in these terms excludes liability that cannot legally be excluded, including applicable liability for negligence or personal injury.

Stallholders are responsible for ensuring their activities, products and equipment are safe and appropriately insured.

16. Event changes and unforeseen circumstances

The Weekend Scene may need to change an event's date, venue, layout or trading hours because of severe weather, venue requirements, government restrictions, safety concerns or other circumstances affecting the event.

Where a change is necessary, The Weekend Scene will notify confirmed stallholders as soon as reasonably possible and provide updated event information and available options.

If a significant change to the date or venue means a stallholder can no longer attend, the stallholder should contact bookings@theweekendscene.com.au promptly. We will consider the circumstances and discuss reasonable options, which may include a transfer or credit where available.

If the event is cancelled, the arrangements in Section 5 will apply.

Weather forecasts, reduced attendance expectations or other business considerations do not automatically entitle a stallholder to a change-of-mind refund where the market proceeds as booked. Each situation will be assessed in accordance with these terms and any applicable statutory rights.

17. Contact and resolving concerns

For questions about these Terms & Conditions, booking changes, cancellations, credits or other concerns, please email bookings@theweekendscene.com.au and include your booking reference.

The Weekend Scene will consider concerns reasonably and aim to communicate the outcome clearly.

Stallholders may also seek independent advice or assistance from an appropriate consumer protection or small business agency.
